Hello, I am looking for a developer / automation specialist (or a small team) to build a full construction company management system for UAB Statnamis (Lithuania). The goal is to automate construction operations “from A to Z” using Make.com or n8n, Google Drive/Google Sheets/Gmail, and AI integration (ChatGPT / OpenAI API). The system should include: 1) Project / Site Management Manage multiple construction sites/projects at the same time Daily worker reports (progress tracking) Photo uploads (before/after, daily progress) Completed quantities (m² / m / pcs) Issues reporting (electricity not disconnected, structural support needed, missing approvals, etc.) 2) Material Tracking (Per Project) Material delivery tracking Material usage tracking Remaining material stock on site Weekly/monthly material summary reports 3) Fuel Tracking (Per Vehicle/Machine/Project) Fuel input records (liters, date, machine/vehicle) Fuel summary per project and per machine Automatic weekly/monthly fuel reports 4) Health & Safety + Fire Safety Documentation Tracking Track employee safety trainings, certificates, permits, medical checks, etc. Track fire safety documents (fire extinguisher inspections, permits, hot work permits, etc.) Automatic reminders before expiration (30/14/7 days + expired status) 5) Document Management System Automatic Google Drive folder structure for each project Document registry in Google Sheets (contracts, invoices, work acts, estimates, safety documents, etc.) Easy search and organized archive 6) Automatic Work Acts Generation (Weekly or Bi-Weekly) Automatically generate work completion acts (Word/PDF template) Include completed quantities, photos and work descriptions Automatic numbering and project identification Automatically send acts by email to the main contractor Automatically save to Google Drive 7) Email → Google Drive Automatic Sorting (IMPORTANT) Automatically monitor incoming emails (Gmail or Hostinger email forwarded to Gmail / IMAP) Detect and download attachments (contracts, invoices, acts, safety documents, etc.) Automatically sort attachments into correct Google Drive folders per project: Invoices Work Acts Contracts Safety (H&S) Fire Safety Automatically rename files and create a record in Google Sheets registry 8) AI Contract Analysis (Optional but Preferred) AI reads PDF/Word contracts Detect risky clauses (penalties, deadlines, responsibilities, payment terms, additional works) Generate a risk report (score 1–10) and recommendations 9) AI Estimating / Tender Pricing System (VERY IMPORTANT) The system must be able to generate construction estimates (Excel/Google Sheets) based on: tender documentation (PDF, Word, BOQ tables) project specifications quantities and work descriptions Estimates must be calculated using Lithuanian market pricing and my own company pricing database (provided as Excel/Google Sheets): labor rates machine hourly rates material rates overhead and profit margins VAT calculation The system should generate: full estimate table (Excel/Sheets) final tender price summary commercial offer (PDF/Word template) Preferred Technology Make.com or n8n automation platform Google Drive / Google Sheets / Gmail OpenAI API integration (ChatGPT) Document generation using Google Docs / Word templates Project Requirements (IMPORTANT) All automation scenarios must be built inside my own accounts (Make.com, Google Drive/Workspace). Full access must be provided after delivery. Full documentation must be provided so another developer can maintain the system if needed. Please Provide: Price estimate in stages (MVP + full system) Timeline for each stage Monthly support/maintenance cost after delivery Examples of similar automation/AI projects Communication can be in English. Documentation can be prepared in Lithuanian if needed.
